The first paragraph should stand out by being bold in 11 or 12 point sized font and should be a brief summary of the whole release so that if this is the only thing someone reads or publishes then it contains all the relevant information.
What, who, when, where, how, why. The rest should be about the details. The whole document should be formatted in double line spacing or at least 1.5.
The release should be factual and as short as it can be without missing out important information. Sentences & paragraphs should be short and not drag on. Make sure you don’t use slang words, too complex terms or clichés.
All information should be 100% accurate. – if you are not sure of facts, figures, dates or contact details then either find out or don’t put them in. However, remember that most publications/platforms love facts and figures that they can turn into a headline so try and use them in a way that creates value.
Don’t use overly complicated language and always bear in mind that the people you are addressing the release to. Also, make sure it is always written in the third person. “We” and “I” should only be used in quotes. At the end of the release make sure you show where it ends and include all contact details.
If you need to continue onto another page then have the following at the bottom of the page which tells people something else important has yet to be said.
The final paragraph should restate and summarize the key points of your news release and finish with a call to action for the readers. Remember to tell people where the press release ends.
